The Brief

Ash Baker is a tennis coach who is building up his own brand, taking on other tennis coaches and giving them a platform to make their coaching easier. He wanted a system that would allow him to manage his business venture effectively. It needed to be accessible online, through any device wherever he was in order to make updates. It would have to provide lesson registers, the ability to add new members, create new classes and events and, most importantly, it would have to be able to process payments for coaching and lessons.

It needed to be automated, as much as could be. Reducing his admin and reducing his need to chase payments and have to continuously cross-check paper registers to see when lessons were and were not attended. Alongside this, he needed a website to include his racket restringing services and allow that to be processed as a payment via the website.

Lastly, he needed a brand and logo for a sub-section of his business he was hoping to promote.

The Process

Firstly, we needed to understand how Ash Baker’s business currently worked. We needed to know how he was managing his registers, payments and resources, how he kept track of his other coaches and other lessons. Furthermore, we needed to understand how he wanted it to be managed, how he envisioned the system helping him, what tasks it would do for him and how it would fit into the coaching system.

This allowed us to develop a good concept for the system, addressing the issues he was facing with a viable system-based solution that he could work with. Accompanying this, we advised on ways to get around the issues he was facing and the kind of options that there were available. At the same time we worked on the designs for the website and his sub-brand.

The development of the system could then begin, following the design concepts and specifications required, the system, website, brand and logo were all developed in unison.

The System

They required a system to perform a multitude of functions, including keeping registers, processing payments, adding customers onto monthly payment plans, providing coaches a platform to use when coaching – collating payments owed and money collected/outstanding.

The entire app was designed around the business to help automate the majority of their admin, reducing their need and reliance on paper records and manual payment tracking. Improving the overall functioning of the business to allow the director (a tennis coach) to get on with what he does best- coaching tennis.

The Solution

It was decided early on that his plans for how he wanted the payments to work lent itself to using Stripe as the payment gateway on the system and website. Stripe adds customers to plans, rebilling them automatically each week/month/year depending on the plan. Since he wanted to move away from customers paying as and when by cheque, cash or bank transfer he wanted to shift everyone onto monthly billing, taking every payment on the same day, all at once by one channel. Simplifying his life and business by doing so.

The system was built around Stripe, a database of customers, classes and schools were added. With registers allowing him to mark off those who had attended each class. The system then had a reporting element included, presenting him with stats on attendance, payment and total income. Overall it was designed around the simplification of his entire business process. Each coach would have a log-in access only to his own classes and registers, marking them off would update the system and help them keep track of attendance. Payment would be automatically processed by the system each month, taking the entire responsibility of collecting fees and managing those fees away from every coach. Making their lives simpler too.

Alongside this, the website and racket restringing shop was constructed. All content was added in and the website and system placed on the same domain allowing them to utilise the Stripe accounts and SSL (Security) certificate put in place to protect their customer’s information.
